Terms of service

The rules for using QuoteStep.

These terms cover accounts, workspaces, customer records, acceptable use, the £24 monthly subscription, service availability and how access can be ended.

Introduction

These terms govern access to and use of QuoteStep. By creating an account, starting a paid subscription or using the service, you agree to these terms on behalf of yourself or the business you represent.

The service

QuoteStep provides tools for creating quotes, sharing client approval links, recording deposits, converting accepted quotes into invoices, tracking payments, managing a Recovery queue, generating PDFs and maintaining related client and activity records.

Accounts and workspaces

  • Provide accurate account and business information and keep it up to date.
  • Keep login details secure and give workspace access only to authorised people.
  • Tell QuoteStep promptly if you believe an account or client link has been compromised.
  • You are responsible for activity carried out through your account unless caused by QuoteStep's own failure.

Customer responsibilities

You are responsible for the accuracy and legality of your business details, client records, prices, descriptions, tax wording, payment instructions, quotes, invoices and communications. QuoteStep helps manage the workflow but does not approve those records on your behalf.

Customer data and business records

You retain ownership of the business and client content you enter into QuoteStep. You give QuoteStep permission to host, process, reproduce and transmit that content only as needed to provide, secure and support the service.

You must have a lawful reason to use client personal data and share documents or portal links with each recipient. More information is available in the Privacy policy.

Acceptable use

You must not use QuoteStep for fraud, unlawful or deceptive quotes or invoices, spam, harassment, harmful code, unauthorised access, scraping, service disruption, security testing without permission, or infringement of another person's rights.

Subscription and billing

The current QuoteStep plan is £24 per month, billed as a recurring subscription through Stripe. The final amount, currency, billing frequency and applicable taxes are shown at checkout before payment.

The subscription renews monthly until cancelled. Failed or overdue payments may result in reminders, restricted access or suspension. Cancellation and refund arrangements are explained in the Cancellation policy and Refund policy.

Third-party services

QuoteStep may rely on third-party hosting, storage, email, payment, security and monitoring providers. Their availability and terms can affect parts of the service. QuoteStep is not responsible for third-party services outside its reasonable control.

Service availability and changes

QuoteStep aims to provide a reliable service but does not guarantee uninterrupted or error-free access. Features may be maintained, improved, replaced or withdrawn where reasonably necessary. Material changes that significantly affect paid use will be communicated where practical.

Intellectual property

QuoteStep owns or licenses the software, brand, website content, interface and platform design. These terms do not transfer those rights. You may not copy, reverse engineer, resell or create a competing service from protected parts of QuoteStep except where the law expressly permits it.

Suspension and termination

Access may be suspended or ended for non-payment, misuse, a serious security risk, breach of these terms or a legal requirement. Where reasonable, QuoteStep will give notice and an opportunity to resolve the issue. You may cancel in line with the published cancellation policy.

Business decisions and advice

QuoteStep is workflow software. It does not provide legal, tax, accounting or financial advice. You remain responsible for checking documents, taxes, legal obligations, payment terms and business decisions before sending or relying on them.

Liability

Nothing in these terms excludes liability that cannot lawfully be excluded. Subject to that, QuoteStep's liability is limited to the fullest extent permitted by law. QuoteStep is not responsible for indirect losses, lost profits or losses caused by inaccurate customer content, misuse, or third-party services outside its reasonable control.

Changes and governing law

These terms may be updated to reflect changes to the service, law or operating arrangements. Material changes will be communicated where required.

These terms are intended to be governed by the laws of England and Wales, unless a separate written agreement states otherwise. Any rights that cannot legally be excluded remain unaffected.
